I. Mission

Portland Hobby Fair (PHF) exists to gather collectors, gamers, and hobby enthusiasts from the Portland area into one market, and to provide an opportunity for anyone to have a physical "storefront" in this market.

PHF's environment is inspiring, and reminds customers of the magic of hobbies and games that lays deep within their hearts.

II. Pricing, Reservations, and Hours of Operation

Prices:

Booths

Booths are approximately 8'x10', and include, free of charge, either a ~6' table or at least 15 feet of 7' high gridwall (wire mesh walls well suited for attaching products; a very efficient use of space). A combination of table and gridwall is available for a fee of $5 per booth. Small press booths are available for vendors who have 100% self-made products (comic book artists, traditionally). Electrical outlets available upon request.

Services

Payment methods include Paypal via this website, or a check mailed to PHF. In addition, vendors may hand cash to the PHF manager during show hours in order to make future reservations.

Reservations:

  • Booth reservations must be made at least 7 days prior to the desired show, and are subject to availability. Full payment reserves a booth. There are a limited amount of spaces, and booths will be reserved on a first come, first served basis.

  • Specific booth spaces may be requested, but are ultimately assigned by the PHF manager. Every effort will be made to accomodate vendors' requests. Requests will be honored chronologically, and by vendor's reputation with PHF.

Cancellations:
  • Cancellations must be made no later than 7 days before the show in order to receive a refund. Failure of compliance results in a forfeit of reservation fee.


Hours of operation:
  • PHF is open to the public from 11:00am to 5:00pm on Saturdays.

  • Doors open at 8:30 for vendors to set up their booths. Vendors may contact PHF if they require more setup time, and an arrangement can be made.
 
III. Operations
  • Vendors should be prepared for operation at the start of each PHF show.

  • Vendors may lose their booth(s) if they don't arrive within 30 minutes prior to PHF opening. If an unforseen circumstance causes tardiness, vendors should call the PHF manager as soon as possible.

  • Vendors are responsible for displaying their products.

  • Vendors are responsible for keeping their space attractive during PHF hours.

  • Vendors are encouraged to attach a sign to their booth, identifying the booth or the business name.

  • Booths must be staffed during PHF hours.

  • Vendors may not dissemble booths before PHF closes without permission from the PHF manager.



IV. Conduct and Additional Rules

Vendor conduct:
  • Vendors are required to conduct themselves courteously.

  • Vendors are required to comply with the requests of the PHF manager.


Additional Rules:
  • Vendors may not sell bootlegs or otherwise illegal products.

  • Vendors may not display sexually explicit or vulgar products. Since children will be present on the show floor, vendors should show consideration in the products they openly display.

  • PHF maintains the right to prohibit the sales of any product.

  • PHF is not responsible for lost, stolen, or damaged goods during show hours.

  • PHF maintains the right to prohibit participation to a vendor and/or require a vendor to leave PHF for any reason.

V. Application process

After the vendor application is submitted, PHF will review the application and contact the applicant by email. If accepted, the applicant will be considered a vendor, and will be given login credentials to purchase booths via the PHF website.
